A weekly caregiver planner gives each day an owner and makes gaps visible before the week begins. Record confirmed arrangements separately from ideas that still need someone’s agreement.
Start with the fixed commitments
List school hours, agreed care periods, and appointments that determine when someone must be available. Write actual start and finish times rather than labels such as “morning.” Include the time needed to take over from the previous person. This is a planning worksheet, so keep the detailed record of meals or activities in a separate daily log.
Give uncertainty its own space
If Wednesday afternoon depends on a work meeting, write that as an unresolved question instead of assigning a caregiver provisionally and hoping they notice. Add the person who will confirm the arrangement and the day by which an answer is needed. That keeps a tentative idea from looking like an accepted responsibility to someone reading quickly.
Review the exceptions together
Look across the completed week for changes from the normal pattern. A different finish time or an extra journey is easy to miss among familiar entries. Read those exceptions with the people affected, then store the latest version where they can access it. At the end of the week, carry forward useful recurring details and discard arrangements that no longer apply.
